Job Description: 

The Project Coordinator will act as a vital point of contact for Homes NSW (our client) and their tenants, overseeing communication and administrative tasks to ensure the smooth execution of maintenance work orders.

This team is responsible for responding to Homes NSW outside of standard AEST business hours and supporting SR Construction’s commitment to providing a 24-hour, 7-day-per-week call centre.

The role includes entering and updating data in Stream (our CRM system), scheduling jobs, coordinating with trades, and ensuring work orders are managed efficiently and accurately.

The ideal candidate will demonstrate strong communication skills, attention to detail, reliability, and a dedication to delivering exceptional customer service. This position is essential to ensuring the timely execution of projects and maintaining positive relationships with all stakeholders.

Responsibilities

  • Efficiently answer, screen, and manage incoming phone calls.

  • Accurately enter, issue, and/or update work orders in the system, ensuring all relevant attachments are included.

  • Serve as the primary point of contact for tenants and Homes NSW, managing bookings and cancelling orders as required.

  • Complete ad hoc duties as assigned by the Team Leader.

  • Receive, assign, and invoice work orders, ensuring accurate tracking and documentation.

  • Maintain compliance with contractual Key Performance Indicators (KPIs).

  • Schedule jobs and coordinate effectively with clients and trades.

  • Liaise with trades to ensure the timely execution of work in accordance with required quality standards.

  • Inform tenants of scheduled work dates and times, ensuring they are appropriately prepared.

  • Address and resolve complaints from tenants or clients regarding ongoing work.

  • Ensure all documentation relating to work orders is accurately stored within the system.

  • Maintain a high level of customer service and foster positive relationships with clients and tenants.

Qualifications & Experience

  • Minimum 2 years’ experience in customer service, administration, or a related field.

  • Proven ability to maintain a high level of accuracy and attention to detail.

  • Positive attitude with a proactive approach to problem-solving.

  • Strong communication and interpersonal skills.

  • Proficiency in data entry and familiarity with Customer Relationship Management (CRM) systems.

  • Ability to manage multiple tasks and prioritise effectively.

  • Previous experience in a coordination or administrative role is preferred, ideally within the maintenance or construction industry.
