Role Overview
We are looking for a detail-oriented and organised Quality Coordinator / ISO Compliance Coordinator to support the delivery of ISO compliance projects for Australian clients.
This role is ideal for someone with experience in quality assurance, ISO documentation, compliance administration, internal audit support, or management system coordination. The successful candidate will assist with preparing and maintaining management system documents, compliance registers, audit evidence, gap analysis notes, and client project files.
This is not a sales role. The main focus is documentation, coordination, compliance tracking, and supporting the Principal Consultant with client delivery.
Key Responsibilities
ISO Documentation and System Support
- Draft, format, update, and maintain ISO management system documents using existing templates.
- Prepare and update policies, procedures, manuals, forms, registers, work instructions, and checklists.
- Support documentation for ISO 9001, ISO 14001, and ISO 45001 management systems.
- Tailor documents to suit each client’s business activities, industry, risk profile, and operational processes.
- Ensure documents are clear, professional, practical, and suitable for Australian business clients.
Gap Analysis and Client Information Review
- Review client information, existing documents, forms, registers, and evidence.
- Identify missing documents, incomplete records, and compliance gaps.
- Prepare gap analysis notes for review by the Principal Consultant.
- Assist in converting client notes, emails, meeting notes, and rough information into structured compliance documents.
- Maintain clear action lists for outstanding client evidence.
Audit Preparation Support
- Assist with preparing internal audit checklists.
- Support Stage 1 and Stage 2 ISO audit preparation.
- Organise audit evidence in client folders.
- Draft internal audit reports, management review minutes, corrective action notes, and improvement registers for final approval.
- Track audit findings, non-conformances, corrective actions, and opportunities for improvement.
Compliance Registers and Records
- Maintain client compliance registers, including:
- Document control registers
- Training and competency registers
- Corrective action registers
- Non-conformance registers
- Risk and opportunity registers
- Legal and compliance registers
- Plant and equipment registers
- Supplier and contractor registers
- Ensure registers are accurate, current, and properly formatted.
- Follow up internally on missing information and incomplete records.
Document Control and File Management
- Maintain strict document control, version control, naming conventions, and folder structures.
- Organise client folders in Google Drive, SharePoint, or other cloud-based systems.
- Ensure documents are saved in the correct location and are easy to locate.
- Maintain consistency across templates, headers, footers, document numbers, revision numbers, and approval dates.
Client Delivery Support
- Support the Principal Consultant with client project delivery.
- Prepare documents before client meetings and update documents after meetings.
- Assist with preparing project trackers and progress summaries.
- Help ensure client work is completed on time and to a professional standard.
- Escalate technical questions, unclear information, or compliance issues to the Principal Consultant.
Quality Review and Continuous Improvement
- Review documents for spelling, grammar, formatting, consistency, and completeness.
- Check that procedures are practical and match the client’s actual operations.
- Support improvements to internal templates, checklists, registers, and work methods.
- Maintain a high standard of accuracy and attention to detail.
Required Skills and Experience
- 1–3+ years of experience in quality assurance, compliance, ISO coordination, documentation control, audit support, or a related role.
- Basic understanding of ISO 9001, ISO 14001, ISO 45001, or similar management system standards.
- Strong English writing skills with the ability to turn rough notes into clear business documents.
- Strong Microsoft Word and Excel skills.
- Good document formatting and administration skills.
- High attention to detail.
- Ability to follow templates, instructions, and document control requirements.
- Ability to manage multiple client files and priorities.
- Comfortable working with cloud-based systems such as Google Drive, SharePoint, OneDrive, Trello, Asana, or similar tools.
- Professional communication skills and ability to work with an Australian-based team.
Qualifications
- Bachelor’s degree in Engineering, Business Administration, Quality Management, Occupational Health and Safety, Environmental Management, or a related field is preferred.
- ISO 9001, ISO 14001, ISO 45001, internal auditing, quality assurance, or compliance training will be highly regarded.
Highly Regarded Experience
- Experience with ISO 9001 Quality Management Systems.
- Experience with ISO 14001 Environmental Management Systems.
- Experience with ISO 45001 Occupational Health and Safety Management Systems.
- Internal auditor training or audit support experience.
- Experience in construction, civil, demolition, manufacturing, engineering, facilities, laboratory, or trade-based industries.
- Experience preparing policies, procedures, SOPs, forms, and compliance registers.
- Experience supporting certification audits or internal audits.
- Consulting, advisory, or client support experience.
