Job Description: 

 

Key Responsibilities

  • Accurately process sales orders and ensure timely communication with internal departments, including the creation of pandadoc agreements

  • Coordinate admin requests and communications with clients, ensuring requests are fulfilled efficiently.

  • Work with the finance team to issue invoices for signed agreements and follow up with clients for initial payments.

  • Provide day-to-day administrative support to the sales team, including CRM updates, HubSpot user access, and maintenance of customer records.

  • Maintain Monday.com board tracking for both sales and distribution teams. 

  • Liaise with the warehouse and support teams to prepare and track order fulfilment.

  • Manage Evolt inbox, ensuring all emails are correctly allocated within set timeframes.

  • Manage a proactive administrative process to maintain insights subscriptions.

  • Triage and qualify incoming leads, ensuring they enter and follow the defined sales process.

  • Process administrative updates in hubspot, as requested by direct manager.

  • Oversee the lost leads process and help reactivate opportunities.

  • Manage printer orders

  • Perform customer welcome calls

  • Other administration tasks as trained and instructed by direct manager.

 

Qualifications, Experience & Skills

  • Proven experience in a sales administration or customer service/call centre role.

  • Understanding of sales operations and processes.

  • Experience with CRM software (ideally Hubspot) and document creator platforms (ideally pandadoc)

  • Ability to communicate effectively with internal and external customers and stakeholders.

  • Ability to work independently and collaboratively in a fast-paced environment.

  • A systems and focused approach with high attention to detail.

  • Strong organisational skills and the ability to manage lead discovery, qualification and nurture processes.

  • Ability to work within established processes and adapt to new ones as needed.

  • Multi-tasker - managing tasks to completion.
