Job Description: 

The Promotions Coordinator is responsible for the accurate and timely entry of all promotional and product data into the client's systems. Acting as a key liaison between Network Partners, wholesalers, and internal stakeholders, this role ensures promotional activities are executed efficiently and aligned with business objectives.

Reporting to the Promotions Manager, the Promotions Coordinator safeguards system integrity and process efficiency to support campaign execution, promotional pricing, and store readiness via the Hub and associated tools.

Collaboration across Merchandise Category teams, Marketing, Operations, Suppliers, and other stakeholders is essential. Adherence to brand guidelines, pricing frameworks, and the Supplier Charter ensures consistent and effective campaigns.

 

Key Accountabilities

  • Manage and uphold the promotional critical path and timelines
  • Ensure accurate, timely completion of all promotional tasks
  • Coordinate submission form processes with category teams
  • Maintain data integrity for all campaign activity in relevant systems
  • Manage forecasting, portal orders, and allocation processes for promotions
  • Prepare and upload store ticketing packages using SignIQ
  • Brief studio on catalogue pagination
  • Provide campaign data for reporting and performance analysis
  • Monitor and resolve data gaps or errors via system checks and coordination
  • Set up and adjust promotional and order allocations for stores
  • Submit wholesaler orders and ensure accurate keying
  • Conduct integrity checks and approve promotions for invoicing
  • Generate “Must Haves” product files for upload to POS systems
  • Develop and distribute MIP (Merchandise Intensity Program) documentation for stores
  • Manage store communications through communication platforms
  • Collaborate with cross-functional teams to deliver campaign outcomes
  • Maintain up-to-date documentation on department processes and policies
  • Manage campaign invoicing approvals and checks
  • Respond to partner support queries within SLA:
    • First response within 24 hours
    • Resolution within 48 hours
  • Build and nurture effective relationships with TWC Network Partners, suppliers, and internal teams

Selection Criteria

Qualifications & Experience

  • Tertiary qualification in Business, Commerce, Marketing or similar (preferred)
  • Prior experience in promotions within a retail environment
  • Understanding of the retail pharmacy sector (desirable)
  • Background in retail or customer service environments
  • High accuracy and precision in data entry
  • Strong written and verbal communication skills
